Practical Information Registration Guidelines Check-in procedures: Pre-registered Delegates On-site Check-in Procedures Each participant at the XIV International AIDS Conference must personally check in at the appropriate registration desk to pick up a conference kit and badge before attending any Conference sessions or events. Participants, exhibitors and media are asked to check in at the desks in the Registration Area, Palacio 5 of the Fira de Barcelona Conference Center, Plaga d'Espanya. On-site check-in will be organized by registration number, so please keep your confirmation letter containing your registration number with you at all times. Delegates who have not pre-registered may register on-site at the On-Site Registration desk. Check-in times: Friday July 5 Saturday July 6 Sunday July 7 Monday July 8 Tuesday July 9 - Thursday July 11 08:oo00-18:oo 08:oo00-18:oo00 08:oo00-18:oo00 06:oo00-18:oo00 08:oo-18:oo Cancellation of Registration We regret that no refunds can be made for cancellations received after May 1, 2002. Changes to Registration Names Names within a group registration (1o or more) may be changed with a fee of 45 Eur per change. Name changes of individual registrations can be made with a fee of 70 Eur per change. Badges Identification badges are required for admission to all sessions, official functions, social events and the exhibitions. Participants who lose their badge must re-register using the confirmation letter and picture identification. A 60 Eur fee will be charged to replace any badges. Skills Building Workshop Late Registration Delegates who wish to register for a workshop may do so from Sunday July 7 to Wednesday July 1o, 08:oo00 to 18:oo and Thursday July ii, 08:oo00 to 14:30, at the Skills Building Registration and Check-in desk located in Palacio 5, level 1. Registration possibilities will depend on the space available in the individual workshops. Delegates who registered online may register for an additional workshop at this time. Procedures for Invited Speakers, Oral Abstract Presenters, Rapporteurs and Chairs Speaker Service Center The Speaker Service Center is located on level 0 of Palacio 5 of the Fira de Barcelona. Hours of operation are o8:oo-18:oo beginning Saturday July 6. It is intended to cater to the needs of, and serve as a meeting point for, all speakers, oral presenters, rapporteurs and chairpersons, who should report to the center at least 12 hours before the start of the conference session in which they are taking part. A preparation room is available and speakers are requested to use this facility to ensure their presentations are correct and ready. We kindly ask all invited speakers and oral presenters to observe the following procedures: * Report to the Speaker Service Center as soon as possible following arrival and at least 12 hours prior to the scheduled time of your presentation to check in and to deposit your slides or Power Point presentation with the appropriate staff. Slides will be scanned and a technician will copy your presentation to the hard disk of the computer network that is used for the Power Point presentations. * During your presentation, please respect the time constraints. Session chairs have been instructed to bring to a close sessions that exceed their allotted time. Note: Failure to report to the Speaker Service Center in advance may necessitate last minute replacement. Procedures for Poster Presenters and Poster Exhibitors All tracks will be represented in the poster exhibition on levels 1-8 of Palacio 4 of the Fira de Barcelona. Each track will have one chaired Poster Presentation session per day, between 12:30 and 13:30. Six posters per track during each timeslot have been chosen for presentation and discussion. All other poster exhibitors are requested to be present at their posters between 12:oo and 14:oo. Authors are responsible for setting up their posters themselves on the day of presentation between o7:oo and o8:oo, and for removing them on the same day between 18:oo and 19:oo. Posters not taken down in time will be removed and discarded by the poster service staff. Procedures for Skills Building Workshop Facilitators After completing the general Conference registration process in Palacio 5, level 1, all Skills Building Workshop Facilitators should immediately check in at the Skills Building Registration and Check-in desk located in the same area. Facilitators are asked to check in at least one day before their workshop. At check-in they will receive the Facilitators Conference Pack.
